This Privacy Policy sets out how Digital Receptionist collects, uses, shares, stores and protects any information you provide to us when using app-digital-receptionist.ai, our software and our services. It also explains your privacy rights and how the law protects you, because we are committed to making sure your privacy is safeguarded. Any information you provide will be used solely in accordance with this Privacy Policy.

Unless stated otherwise, Digital Receptionist intends in principle to offer its software and services to the EEA market and its jurisdictions, and therefore applies and implements the General Data Protection Regulation 2016/679 (“GDPR”) as the gold standard for handling privacy matters under this Privacy Policy. By using app-digital-receptionist.ai you expressly acknowledge and agree that the GDPR and/or other EU privacy legislation shall apply as the exclusive data protection law governing app-digital-receptionist.ai and this Privacy Policy.

This Privacy Policy applies to the websites, applications, products and services on which it is posted, linked or referenced.

Digitalni receptor d.o.o. is a limited liability company incorporated in Slovenia, with its registered office at Ilirska ulica 21, 1000 Ljubljana, Slovenia (company registration no. SRG 2016/3475). The company owns and operates the app-digital-receptionist.ai website and its related services.

Information we collect

Digital Receptionist may collect the following information:

  • Basic information, such as your first and last name
  • Contact details, including your email address and telephone number
  • Geographic location based on your IP address

In addition:

  • We collect information about what visitors to app-digital-receptionist.ai access while browsing the website, whether or not they are logged in to the service.

Please note: if you do not give, or if you withdraw, your consent to receive promotional information, you will continue to receive system emails that are necessary for the operation of the services we provide. We are obliged to disclose personally identifiable information in order to act on any unlawful activity, or where required by law. app-digital-receptionist.ai may contain links to other locations on the internet that are owned and operated by third parties. You acknowledge that Digital Receptionist cannot be held responsible for the protection and privacy of any information you provide when visiting such locations. Those locations are not governed by this Privacy Policy.

Sharing personal data

We do not share, rent or sell the personal data you provide to us to other organisations without your explicit consent, except as described in this Privacy Policy. We may disclose personal data to third parties without your consent (including third parties that are not processors within the meaning of Art. 28 GDPR) in the following circumstances:

  • Business transfers. We may share personal data when we carry out, or negotiate, a business transaction involving the sale or transfer of all or part of our business or assets. Such transactions may include a merger, financing, acquisition, or bankruptcy proceedings.
  • Compliance with laws and law enforcement; protection and safety. We may share personal data for legal, protective and security purposes, or to comply with the law.
  • Professional advisers and service providers. We may share personal data with those who need it in order to work on our behalf. These recipients may include third-party companies and individuals who administer and provide services for us (such as customer support, hosting, email delivery and database management), as well as lawyers.

Your access to and control over your personal data

  • Access the personal data we hold about you – this allows you to receive a copy of the personal data we hold about you and to verify that we are processing it lawfully.
  • Request that we amend or correct the personal data we hold about you – this allows you to have any incomplete or inaccurate data we hold about you corrected, although we may need to verify the accuracy of the new data you provide.
  • Request that we delete any personal data we hold about you – this allows you to ask us to erase or remove personal data where there is no good reason for us to continue processing it. You also have the right to ask us to erase or remove your personal data where you have successfully exercised your right to object to processing (see below), where we have processed your personal data unlawfully, or where we are required to erase your personal data to comply with local law. Please note that we may not always be able to comply with a deletion request for specific legal reasons, which will be explained to you, where appropriate, at the time of your request.
  • Object to the processing of your personal data – where we rely on a legitimate interest (or that of a third party) and there is something about your particular situation that makes you want to object to processing on this basis, because you feel it affects your fundamental rights and freedoms. You also have the right to object where we process your personal data for direct marketing purposes. In some cases we may be able to demonstrate that we have compelling legitimate grounds to process your personal data which override your rights and freedoms.
  • Request that we restrict the processing of your personal data – this allows you to ask us to suspend the processing of your personal data in the following situations:
    • where you want us to establish the accuracy of the data;
    • where our use of the data is unlawful but you do not want us to erase it;
    • where you need us to hold the data even if we no longer require it, because you need it to establish, exercise or defend legal claims; and
    • where you have objected to our use of your data but we need to verify whether we have overriding legitimate grounds to use it.
  • Request the transfer of your personal data to you or to a third party – we will provide your personal data to you, or to a third party you have chosen, in a structured, commonly used, machine-readable format. Please note that this right applies only to automated information which you initially consented for us to use, or where we used the information to perform a contract with you.
  • Withdraw your consent at any time – in the limited cases where we rely on your consent to process your personal data, that consent is voluntary, and if you choose to withdraw it this will not affect the lawfulness of any processing carried out before you withdrew it. If you withdraw your consent, we may not be able to provide certain services to you. We will advise you of this at the time you withdraw your consent.

You will not have to pay a fee to access your personal data (or to exercise any of your other rights). However, we may charge a reasonable fee if your request is clearly unfounded, repetitive or excessive. In these circumstances we may also refuse to comply with your request.

We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal data (or to exercise any of your other rights). This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it. We may also contact you to ask for further information in relation to your request, in order to speed up our response.

We aim to respond to all legitimate requests within one month. Occasionally it may take us longer than a month, if your request is particularly complex or if you have made a number of requests. In that case we will notify you and keep you updated.

Transferring your personal data to another country

If you do not want your personal data to be transferred to third countries outside the EU / EEA or, if you are not in the EU / EEA, outside your own country, please do not tick the consent box and do not send us any personal data.

Please note that we collect your personal data directly from the country in which you are located, and that we may store it on servers outside the EU / EEA (or outside the country in which you are located), which may be operated by third-party service providers. We need to involve third-party service providers because of their legitimate interests in secure and adequate data storage. What we hold, and how to change or delete your personal data

If you would like to receive a list of the personal data we currently hold about you, or if you would like to change or delete any of your personal data, please contact us at info@digital-receptionist.ai. Where deletion is requested, any or all of your personal data will be deleted within 14 days.

Data security and protection

We protect your personal data with appropriate safeguards. When you submit sensitive personal data through the website, your personal data is protected both online and offline.

While we use encryption to protect sensitive personal data transmitted over the internet, we also protect your personal data offline. Only employees who need personal data in order to perform a specific job (for example, billing or customer service) are granted access to it.
